Booking information – Down time in the Dens
● Each tent and mattress needs a space of 80cm x 140cm.
● Tents need sufficient space to have clear entrances and exits.
● Tents must not be erected next to an open flame such as a candle, open fire or flammable substance.
● Smoking around the tents is strictly prohibited due to safety and hygiene.
● Tent area must be free from any domesticated animal and no access must be granted.
Included in hire as a minimum –
● Dens
● Mattress
● Fitted sheets
● Fluffy blanket
● Scatter cushions
● Breakfast Tray
● Lantern
● Fairy lights
Extra decorations maybe used but cannot be guaranteed. Set ups are never completely the same due
to availability. Please note that each child must bring their own pillow to sleep on.
Terms and Conditions of hire
1. Booking
1.1 No booking is secure until the deposit has been paid.
1.2 The deposit acts asks as a confirmation that these terms and conditions have been read and agreed
upon.
1.3 A non-refundable deposit of £30 (for Dens) £100 ( for bell tents) is required to secure the booking.
This deposit is taken off the total rental total.
1.4 Final balances are required seven days before the booking date. We must receive confirmation of
the final number for your sleepover party and add-on choices no later than seven days prior to the
date of the party. If the Client chooses to downgrade the party after this time, the original booking
price will still apply with no refund.
1.5 A security bond of £50 (for dens up to 3 – £100 for four+) is required whilst the equipment is in
hire and must be paid before the equipment is left. This can be cash or bank transfer. The security
deposit is refunded upon inspection of the equipment.
1.6 In the unfortunate event of damaged being made the value of damage will be forfeited from the
security deposit.
1.7 If damage exceeds the security deposit then payment for the remainder is required within 48
hours. A full breakdown of damage costs is available in these terms.
1.8 All bookings are for a one overnight hire period. Unless otherwise stated.
1.9 All prices are subject to change, however prices quoted at the time of booking will always be
honoured.
2. Cancellation
2.1 Cancellation by the client within 48 hours of original booking will receive full refund of deposits
paid.
2.2 Cancellation by the client anytime after 48 hours after paying the deposit will surrender the nonrefundable deposit.
2.3 Cancellation of a party before seven days before the party date and regardless of reason will be
given a new choice of date within 6 months.
2.4 Cancellation of a party seven days before the event will not be entitled to a change of date or
refund.
2.5 Cancellation due to covid-19 will result in a postponement but no refund given. Party must be
rescheduled within 6 months.
2.6 Cancellation by Just JimJams will result in a full refund except in these circumstances – because the
hirer is in breach of these terms and conditions or because of force majeure.
2.7 Just JimJams will not be liable to pay any compensation to the Client or any other person for any
loss, damage or expenditure arising directly or indirectly from the cancellation.
3. Insurance
3.1 Just JimJams has public liability insurance through Risk Kitchen for £1,000,000.
3.2 Nothing in these terms shall limit or exclude the liability of Just JimJams, which may not be limited
or excluded by law, including without limitation liability for death or personal injury caused by Just
JimJams negligence or fraudulent misrepresentation.
3.3 Just JimJams takes the upmost care to ensure the safety of all party guests at all times. Just JimJams
tents and canopies are independently tested and marked CE in accordance with the Toy Safety
Regulations UK 2011.
3.4 Insurance is the Client’s responsibility during the rental period. Just JimJams is not liable for any
accidents that occur during said rental period. The Client accepts all liability when renting from Just
JimJams. The Client is responsible for the security of the equipment at all times during the rental
period. Any lost, broken, damaged or destroyed equipment will be charged to the Client at full
replacement value.
3.5 Just JimJams is not responsible for any accidental damage to clients personal items during set up
or pick up. Clients are asked to ensure all areas are cleared to ensure no damage can take place.
3.6 No information included in this booking form will be disclosed to any third party.
4. Delivery, setup and collections.
4.1 Delivery is free within 20 miles of S59FW. Miles above this are quoted at point of booking.
4.2 Delivery, assembly, styling, collection and general laundering are included in the hire cost unless
stated otherwise.
4.3 Delivery times for the set up of the dens will be between 11am – 2PM on the date of the party and
for the bell tent between (8-9am). A half an hour window for arrival will be given the day of delivery.
4.4The time required for complete set up is approximately an 30 mins for two dens to an hour for 4+
dens and 1.5-2 hours for the bell tent, but may take more or less depending on the number of teepees
and add-ons ordered. We ask that no children or guests are in the party area during set up in order to
avoid a time delay.
4.5 All floor areas must be clean from dirt, dust & furniture before setup begins.
4.6 Collection time for dens is usually between 2pm – 4pm and bell tents 3pm. 4.7 All times listed as
a guide and will be confirmed before the event.
4.8 Collection and set down can only be performed by a member of Just JimJams. It is important not
to move/close tents due to damage to lights, decorations and frames.
4.8 A walk-through will be performed with the Client prior to breakdown to confirm there are no
damages or issues.
5. Use of the equipment
5.1 Use of the equipment must be under strict adult supervision. Just JimJams will charge the hirer for
the costs of any damage to any property caused by your breach of this clause.
5.2 The Hirer is responsible/ liable for any damage or injury occurring from or as a result of
inappropriate use or misuse or reckless use of any of Just JimJams equipment.
5.3 It is the Hirers responsibilities to ensure the children comply with all reasonable instructions from
Just JimJams to ensure the safety of the attendees and other persons present. Just JimJams may
suspend the event if you are in breach of this clause.
5.4 Just JimJams will accept no liability or responsibility to the Hirer for any damages, costs, losses,
claims, expenses, demands and proceedings including property of Hirer and their guests, or any
consequential loss in these regards.
5.5 The Hirer is responsible for providing Just JimJams with all relevant medical/dietary information
for all the children attending the party. Just JimJams will take no responsibility for allergies (including
skin, food, materials etc) where she is not advised in advance of the condition. Just JimJams is likewise
not responsible at any point, for the welfare of the children at the parties, which remains the full
responsibility of the hirer.
5.6 All equipment in the interest of health and hygiene be kept away from domestic pets are not
allowed access to the hire equipment. Any additional cleaning as a result of access to the equipment
by pets may result in an additional charge.
5.7 The bell tent can only be set up on a private back garden or privately owned land (no communal
gardens/access) with no access to animals including pets or livestock.
5.8 Shoes, glasses, sunglasses, jewellery, badges etc. must be removed before using the equipment.
No face paint, party poppers, confetti, coloured streamers, glow sticks or silly string to be used on or
near the equipment. Climbing, hanging or sitting on the walls of the equipment must not be allowed
as this may cause injury and damage. Always ensure the equipment is not over-crowded and limit
numbers according to the age and size of the persons using it. Also ensure that the age range of those
using the equipment is suitable according to the equipment description. Ensure users are not pushing,
colliding, fighting or behaving in such a manner as to risk injury or cause distress to others, or damage
the equipment. No sharp instruments are allowed on, in or around the equipment. . Ensure that noone uses the equipment if they are feeling unwell. Tampering is strictly forbidden of any
equipment/products at any time by children.
DAMAGE CHARGES:
The Client agrees to pay the following amounts per damaged item, should an item be damaged while
on their premises:
Equipment, damage(s) and cost(s): Broken or damaged teepee frame, £45 per frame Broken or
damaged teepee cover/fabric, £45 per cover Broken, damaged or tangled fairy/twinkle lights, £5 per
set Broken, damaged or tangled bunting, £15 per length used Broken, damaged or graffitied breakfast
tray, £10 per tray Nail polish and/or irrevocable stains on any item of bed linen, £12-20 per item,
depending on item type Damage to, or missing, mattress, £30 per mattress Damage to, or missing,
pillows or plushes, £10 per pillow/plush Damage to, or missing, lamp, £5 per lamp Cost of missing or
damaged additional items will be discussed at pickup.
5.9 Setting up tents in a house with strong smells of spices, smoke or any over powering smells will be
subjected to a £20 laundry charge. Clients must not smoke near the tents.
Just JimJams has the right to cancel set up if the house is too over powering smell of smoke or other
substances with no refund offered. We will offer to relocate depending on distance.
6. FORCE MAJEURE
6.1 The Company will not be liable for any: Act of God including but not limited to tempest, fire, flood,
storm or natural disaster; War, civil war, sabotage or act of terrorism; Government sanction, embargo,
import or export regulation or order; Labour disputes, including strikes, lockouts, boycotts or other
industrial action; Failure in the transportation of equipment, machinery or personnel or in the
provision of any utility including power, gas, water, or communication services.
6.2 While every effort will be made by the Company to carry out any booking accepted, however, the
full performance of it is subject to variation or cancellation by the Company consequent upon Act of
God, War, Strikes, Riots, Lockouts or any other disturbances. Fire, Flood, Storm, Gale or Tempest
restrictions on the use of Transport, Fuel or Power. Requisitioning Storage of material or transport or
labour or any other cause beyond the control of the Company.
By paying the deposit to secure your date you are agreeing you have read, understood and agree to
